Scope
This notice covers the Swiss Youth Music Competition’s information website and the protected editorial system, SYMC Studio. We process personal data under the Swiss Federal Act on Data Protection (FADP). Where processing falls within the EU General Data Protection Regulation (GDPR), its requirements also apply. A Swiss website merely being accessible from the EU does not by itself determine this.
Visiting the website
Delivering and protecting the site involves processing information such as your IP address, time, requested address and technical browser information. The application does not keep individual visitor statistics or a general access log. The hosting service may maintain technical operational and security logs for reliable operation, troubleshooting and preventing abuse. Their retention depends on the period needed for those purposes and the hosting configuration.
Cookies and external content
The website itself sets no analytics, advertising or marketing cookies and does not use tracking or browser storage to recognise visitors. Fonts, images, video thumbnails and the Swiss map load from the website’s own host. External video players load only after your explicit choice; their processing is described below. Social networks and the registration portal are external links.
If you choose a language in the language menu, the website remembers it in the sjmw-lang cookie. It contains only the language code, for example “en”, lasts one year and makes the website open in that language when you return to its main address. Without that choice, the language follows your browser’s language setting; nothing is stored for this. You can delete the cookie in your browser at any time.
Only a successful CMS sign-in sets the necessary sjmw_session cookie, containing a random session identifier. It expires after at most twelve hours and is removed on sign-out. The server ends a session after one hour of inactivity. You can delete or block cookies in your browser; editorial sign-in requires this cookie. This limited, necessary use involves no marketing consent or “Accept all” banner.
Vimeo and YouTube videos
The gallery offers embedded videos from Vimeo.com, Inc. (USA) and, where present, YouTube (Google Ireland Limited, Ireland). Visiting the page and opening the local video preview create no connection to these providers. The selected external player loads only when you activate the Play button. The provider then receives information including your IP address, device and browser details, the video identifier and the referring website to deliver the video and protect its service. Processing may also take place in the USA.
Vimeo uses its Do Not Track setting and YouTube its privacy-enhanced mode. These settings limit certain uses but do not prevent all processing. Technically necessary provider cookies may be set and existing cookies transmitted depending on your browser; association with a signed-in provider account may be possible. Your choice is voluntary and applies to the selected video; no lasting permission is stored. Where consent is required, activation relies on it, including Article 6(1)(a) where the GDPR applies. Closing the player ends its connection for the future; it does not delete data already sent or provider cookies. The rest of the website remains available without activation. The linked provider notices explain their processing, retention, international transfers and your rights.

Contact and registration
If you contact us by email or telephone, we use your contact details and message to handle your enquiry and reply. Please provide only the information needed. Enquiries are retained as long as their handling, legal obligations or legitimate claims require.
Competition registrations and any payments take place in the separately operated login.sjmw.ch portal. This information website does not collect registration dossiers or payment details. Please read the portal’s instructions, privacy information and applicable conditions before registering.
Newsletter
For the newsletter we only need your email address. We use it solely to send you the newsletter and information about our activities. After signing up you receive an email with a confirmation link; your address is added to the mailing list only once you confirm (double opt-in). This processing is based on your consent. You can unsubscribe at any time using the unsubscribe link included in each of our emails.
Infomaniak Network SA in Geneva sends and manages the newsletter on our behalf; the data is stored on servers in Switzerland. The website passes your sign-up directly to Infomaniak and does not store your address. When you submit the form, your browser fetches a short calculation from Infomaniak that blocks automated sign-ups; Infomaniak receives your IP address in the process. To prevent abuse, the website counts sign-up attempts for no more than about 24 hours, without storing the IP address in plain text.
Names, contributions and images
The website publishes names, roles, biographies, event information, contributions, photographs and video links connected with the foundation’s work. Sources include the people concerned, their representatives, contributors and existing foundation archives. Publication informs the public about the foundation and documents and supports young musical talent.
Public content can be viewed worldwide, indexed by search engines and copied by others. Publication must respect the rights of the people depicted and copyright holders. For minors, the necessary permissions from the person concerned and their legal representatives must be established. Please use the contact details below to report an unwanted depiction or request a correction or removal. Public archive material is periodically reviewed for its continuing purpose and associated rights.
Editorial account data
Personal editorial accounts contain a name, email address, role, account status, a password verification value and, if optional two-step verification is enabled, an encrypted authenticator key. Session data and security counters protect access. Logs and versions record who edited or published content. Authorised administrators can access these records and backups; editorial accounts are not public.
Expired sessions and old security counters are cleaned up automatically. Login-attempt counters remain for at most about 24 hours plus the cleanup interval. Failed-login logs are cleaned up after 30 days and other activity logs after 180 days. Revision history is limited to 50 versions and 365 days; the latest recovery version remains with the current content. Cleanup runs at startup and approximately every ten minutes thereafter.
Accounts are needed only while editorial access is required. Administrators can disable and then remove accounts that are no longer needed. Current content and public cultural archives have a separate retention purpose; archiving is not complete erasure. Files used only in unpublished drafts are restricted to signed-in editorial users.
Hosting, recipients and backups
The website, CMS and planned backups are hosted with Infomaniak Network SA in Switzerland. Authorised providers perform hosting and technical maintenance for agreed purposes. We also disclose data where legally required. We do not sell personal data.
Non-public data is limited to authorised people. The website does not use its own analytics or advertising services. Voluntarily activated external video players additionally involve the recipients and processing abroad described above. When you deliberately follow an external link, that service processes technical data under its own information, potentially abroad. Published content remains accessible worldwide. Any additional providers or access from abroad must be reflected in this notice beforehand, including the countries concerned and any required safeguards.
Automatic backups retain the last 14 successfully created snapshots: approximately two weeks when every daily backup succeeds. Failed runs extend that period. Manual, hosting and recovery copies require a separate review and deletion schedule. After erasure, older backups are not used for routine access; justified erasures must be reapplied if a backup is restored.
Where the GDPR applies
Secure website and editorial operations and proportionate public communication serve legitimate interests under Article 6(1)(f), with particular regard to children’s interests. Article 6(1)(b) applies to enquiries necessary for a contract, Article 6(1)(c) to legal obligations, and Article 6(1)(a) where consent is required or relied upon. Consent can be withdrawn for the future. This website makes no solely automated decisions with legal or similarly significant effects and creates no behavioural profiles.
Your rights
You can request access, correction and, subject to legal conditions, erasure or restriction. Where applicable, you may also request data delivery or portability and object to processing based on legitimate interests. Consent can be withdrawn for the future. We consider requests alongside legal retention duties and competing rights. We may ask for proportionate information to verify identity; please do not send unsolicited identity-document copies.
Access requests are normally answered within 30 days under Swiss law or, where the GDPR applies, within one month, subject to the available statutory extensions. You can contact the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, where the GDPR applies, complain to a competent supervisory authority. We update this notice when changes to processing require it.
